The purpose of Mail Services is to provide complete mail delivery and processing services in support of the teaching, research, and service missions of the University. The Mail Services staff is dedicated to providing timely and cost-effective mailing and shipping services for the University. To that end, we offer a complete mailing center to achieve the following objectives:

  1. Provide delivery/pick up/address list management/processing services for official University business correspondence (no personal mail).
    1. To provide departments with timely and accurate delivery of U.S. Postal Service (USPS) incoming mail and intercampus mail once each working day.
      1. USPS mail is delivered the day it arrives in the UNL Mail Services center. Mail that arrives in Mail Services by 6 a.m. will be delivered that day; mail that arrives by 9:30 a.m. is delivered in the next day's mail.
      2. Intercampus mail will be delivered in one working day.
      3. Mail exchanges (delivery/pick up) in buildings are made according to a published schedule.
      4. Exceptions: Large volumes of mail on Monday mornings and days following holidays may not be sorted in time for same day delivery and/or delivery may run behind schedule.
    2. To provide departments with timely pick up of outgoing USPS, UPS, and expedited service mail (e.g., Federal Express, Express Mail, UPS) and to process that outgoing mail in a cost effective, accurate, timely fashion.
      1. All outgoing USPS mail received by Mail Services prior to 3:30 p.m. will be processed and dispatch to USPS at 4:30 p.m. that day with the exception of standard-class bulk mail.
      2. All outgoing mail for vendors other than USPS must be received by Mail Services at least 30 minutes prior to vendor collection. (Call Mail Processing, 2-9970, to get information about schedules.)
      3. All UPS material must be received by Mail Services by 3 p.m. to go out same day.
    3. To provide mail list management including:
      1. Address list hygiene (capitalization, punctuation, abbreviations).
      2. Address lookup, match with national USPS files, ZIP + 4 add, and delivery point barcode add.
      3. Removal of duplicate records.
      4. Address list storage for 6 months.
  2. To provide accurate information to the campus community on mail rates, regulations, classification, and options (both USPS classification options and other vendor options). Call Mail Services 2-9970 for information.
  3. To serve as the official UNL liaison with the U.S. Postal Service, United Parcel Service (UPS), and other expedited services vendors (Federal Express).
  4. To be aware of all price discount/service improvement mailing programs which save University departments' money and provides opportunity for departmental participation in such programs.

Postal Service Makes Dramatic Changes in Mail Categories

The new prices reflect changes in postal operations and the marketplace and will enhance efficiency, offer more choices and make sure all types of mail will cover their costs. Included are incentives to create mail pieces compatible with the post office providing systems that deposit parcels closer to where they are delivered.

One of the overriding principles in the new price structure is that shape matters. It's important to us at the university because the cost of bar coding each mail shape - letters, large envelopes (flats) and packages - varies individually. Shape is also important to all of us because it affects how you position your message or your product.

This new price structure creates a more efficient mail system so the total overall cost of using the mail is kept as low as possible. New sorting options have been offered to reduce the number of containers in all mailings, extending bundle schemes and sack preparations to give mailer access to lower rates and better mail processing. The post office wants to make using the mail a great value and reduce the costs associated with the handling of undeliverable - as - addressed mail by incorporating initiatives that will make it easier and cheaper for the mailers to get updated addresses.

Here are highlights of the most frequently talked about topics for mail processing at our university:
